Fall 2007 / Sage Abra HRMS

Dear Client,

Wow! Is not easy to relate to those "Life Comes at You Fast" commercials from Nationwide Insurance. You know the ones where an odd series of events take place causing significant damage to some generally unsuspecting individual. Not only does life seem to have an ever faster pace, but as the commercials comically portray, totally unexpected and often bizarre events fly at us from out of the blue. We are constantly challenged to carry on the routine while meeting unexpected demands.

All this tends to create increasing stress on our time and ability to think - we are often just reacting. On top of this it seems we are continually trying to do more with less. In his book Slack: Getting Past Burnout, Busywork, and the Myth of Total Efficiency Tom DeMarco states:

"The legacy of the nineties has been a dangerous corporate delusion: the idea that organizations are effective only to the extent that all their workers are totally and eternally busy. Anyone who's not overworked (sweating, staying late, racing from one task to the next, working Saturdays, unable to squeeze time for even the briefest meeting till two weeks after next) is looked on with suspicion......"

"Change and reinvention require a commodity that is absent in our time as it never has been before. That commodity is - the catalytic ingredient of all change - is slack. Slack is the time when reinvention happens. It is time when you are not 100 percent busy doing operational business of your firm. Slack is the time when you are 0 percent busy.

Slack at all levels is necessary to make the organization work effectively and to grow. Good companies excel in the creative use of slack. And bad ones can only obsess about removing it."

In other words, how could we have time to think creatively about improvement when we are constantly dogged by getting things done and dealing with the daily crisis? Okay ..... I have not read the entire book yet because, of course, I have not had time but just the opening chapter creates a bit of an "ah hah" moment. It makes sense: we need to find the time to improve and be more effective - relax and let some thoughts flow.

Along these same lines it is interesting that we are often approached by companies seeking a new reseller because they feel they are not getting the full value out of their processes and/or systems. The first thing we do with them is perform a system review to look at what they are doing and how they can more fully utilize the systems in place. In essence we are asking them to take a break from the operational to think about what they do and how they can do it better.

We hope that each of you as our clients will be open to taking a break from the busy to rethink how you do things or take advantage of capabilities you never had the time to discover. Our desire is to see you succeed and achieve your goals; let us help. Tools of communication abound, but are you using them effectively?

Last summer, Scott Dockter had an epiphany. Dockter, CEO of PBD Worldwide Fulfillment Services, an Alpharetta, Georgia, provider of distribution and call center management services, realized that his business communication had gotten out of control - particularly when it came to his e-mail. "I noticed that I'd e-mailed my assistant, who has a desk about 20 feet from me, about seven or eight times in one morning," he says. To read the article click here.

Tip

Sometimes errors are made during payroll processing that don't affect the amount paid, such as using the wrong earnings code. You'd like to make a correction so the system accurately reflects the proper earnings code, but you'd rather not void the entire paycheck and reissue it.

This can be accomplished by creating a negative earnings entry on the next paycheck. The system will correct the error as long as it is run with a positive earning in the same check group. Entering negative earnings can be used to correct overpayments and fringe benefits as well. The appropriate adjustments are made to taxes withheld when the check is processed.

Business Technology Solutions takes great pride in the level of our support to clients.  There are various levels of ongoing support that may be appropriate for specific organizations.  First and foremost we recommend that clients purchase software publishers’ support agreements and supplement them with our support services (which are most valuable when related to our understanding of the business use and processes enabled by the applications). 

Why is it so important that the first level of support come from the publisher? At Business Technology Solutions we focus on business process consulting and software implementations. Our team is staffed to be more effective when work for our clients is scheduled – such as process consulting, original implementations, upgrades, system reviews, training, technology services consulting and so forth. As such, our ability to stop what we are doing and help you with a specific problem is very limited. Our goal is to contact support requests within 24 hours and we often do better then this. On the other hand, software publishers have specific staff assigned to respond to customer support calls/issues and are therefore in a much better position to contact you more quickly.

 We want to be sure that you realize how important you and your success is to us. What often confuses the support expectations is that during your original implementation you had a lot of attention from our consulting team. We were there to answer your questions and train you throughout the process. Following “go live” we transition to the support role, which for very practical reasons cannot be as close as our role during the implementation.
